How to Make a Scanned PDF Searchable (OCR)

6 min read · Updated 2026-10-12

You open a PDF, hit Ctrl+F, type a word — and nothing happens. The document is a scan: every 'page' is just a photo, and your computer sees no text at all. No searching, no copying, no highlighting.

OCR (Optical Character Recognition) fixes that by reading each page like a human would and adding a real text layer underneath. Same pages, same look — but now the text is actually text. And it runs entirely in your browser, free.

A number that surprises people: OCR on a clean, modern scan is about 99% accurate — roughly one error per page. On a blurry phone photo of a crumpled receipt, it drops fast. The quality of your scan is the quality of your result; there's no way around that math.

Step 1: Check if you even need OCR

Try selecting text in the PDF. If you can select it, there's already a text layer — skip OCR. If selection doesn't work, it's a scan and OCR is exactly what you need.

Step 2: Run the OCR

Drop the scan into the OCR PDF tool. The engine reads each page in your browser via Web Workers — your private scans are never uploaded anywhere, which matters for sensitive documents.

Step 3: Verify the text layer

Spot-check a few pages: search for a distinctive word, copy a paragraph. OCR is excellent on clean scans and shaky on blurry ones — a quick check tells you whether to trust it blindly.

Getting the best OCR results

Clean scans in, clean text out. Straight pages, good contrast, 300 DPI or better. Crooked phone photos of crumpled paper will give you creative spelling — garbage in, garbage out applies double to OCR.

OCR vs. retyping: the real math

A 20-page document takes ~2 minutes to OCR and ~3 hours to retype. Even with a 2% error rate to fix, OCR wins by a landslide. Reserve retyping for documents where every character is critical and the scan is terrible.

What to do with the searchable PDF

Now that text is real: search across the document, copy quotes, index it in your document manager, or extract all text with the PDF to Text tool. The scan just became a first-class digital citizen.

Common questions

Which languages does it recognize?
The engine handles major languages including English. Quality varies by language and by how clean the scan is.
Will OCR change how my pages look?
No. The original page images stay exactly as they are — OCR only adds an invisible text layer beneath them.
My scan is handwritten. Will it work?
Handwriting recognition is unreliable. OCR is built for printed text; handwriting comes out as guesswork at best.
How long does OCR take?
Depends on page count and your device — a 10-page scan usually takes under a minute. It runs in your browser via Web Workers.
Does OCR work on handwriting?
Unreliably. It's built for printed text; handwriting comes out as creative guesswork.
